Parent reminders

Stop manually reminding parents about missing forms.

Announcements tell everyone something. Playvent reminders help the right families complete the right actions, and stop as soon as they do.

See the parent side for yourself. No app, about a minute.

Announcement vs. reminder

Most camp software can send a message to everyone. That's an announcement, and it's the wrong tool for missing paperwork. It goes to the 97 families who are done, annoys them, and gives the 23 who aren't nothing specific to act on.

Announcement

Camp starts Monday! Please make sure all of your forms are complete.

Same text for everyone. Which forms? Where? Is it about my kid?

Playvent reminder

Heads up — Health Form for Maya Rivera is due tomorrow. playvent.app/r/…

Only to Maya's family. Names the form and links straight to it.

The reminder schedule

Give each required item a due date. Playvent schedules reminders for every family who still owes it:

WhenWhat the family gets
1 week beforeA heads-up naming the item, the camper, the due date, and a link
3 days beforeA short reminder with the link
Day before"Due tomorrow"
Due date"Due today"
After the due dateOne past-due notice, saying the organizer has been told

That's five texts at most, and only for families who haven't finished. Families who are done get none.

Built to not annoy parents

  • Stops the moment it's done. When a parent completes the item, their reminders for it end.
  • No overnight texts. Nothing goes out between 9pm and 8am local time, and at most one reminder a day.
  • Backs off mid-conversation. If a parent is actively replying, reminders pause.
  • One text, not five. A family with several items left gets one message listing what's left and what's next, not a text per form.
  • Opt-in and opt-out. Playvent only texts families who have connected with your program, and replying STOP ends it.

When reminders aren't enough, you're told

After the past-due notice, Playvent stops texting and flags that family on your board. That's your cue to pick up the phone. You can also text every unfinished family their next step whenever you choose. One action covers everyone who still owes something.

Health Form for Maya Rivera is now overdue. We've notified Camp Pinecrest. Finish here: playvent.app/r/…

The last automatic text. After this, it's a human conversation.

What families can be reminded about

Anything your program requires before day one: health and medical forms, emergency contacts, waivers, permissions, and payments when the session has a fee. Forms can be answered by text, signed from a link, or completed on a form you host elsewhere. More detail on collecting waivers and the full paperwork workflow.

Reminder questions

Can I change the reminder schedule?

The schedule follows each item's due date. Move the due date and the reminders move with it. You can also send a reminder yourself at any time.

Will parents who already finished get reminders?

No. Reminders only go to families who still owe that item, and they stop as soon as it's done.

Do reminders go out at night?

No. Nothing is sent between 9pm and 8am local time.

Can I text families who haven't signed up for texts?

No. Families connect by replying to your Playvent invite first, and anyone can reply STOP. That keeps your messages welcome.

What happens if a parent replies with a question?

Reminders pause while a parent is actively replying, so they aren't talked over.
