The week before camp

How it works
1. Add what every family owes
List the forms and waivers your program needs. Payment is included automatically when the session has a fee. Upload the PDF form you already use and Playvent pulls out its fields. Or link a form that lives somewhere else, like Google Forms. Or have the questions answered by text, one at a time.
2. Bring your families in
Import families from a spreadsheet, then share a Playvent invite. Each family connects by replying to it, and from then on Playvent can text them about their camper. Playvent only texts families who have connected, and anyone can reply STOP.
3. Playvent follows up for you
Each family gets reminders tied to the due date: up to five texts, from a week before to one past-due notice. Every reminder names the camper, the exact item, and the due date, with a link straight to it. Once that item is done, the reminders stop. Nothing goes out overnight.

4. You handle only the exceptions
If something is still missing after the past-due notice, Playvent flags that family for you to follow up personally. On your board you can mark items complete, waive them, or text every unfinished family their next step at once.

Why text, and why one item at a time
A general "camp starts Monday!" announcement reaches everyone and moves nobody. Parents act on the message that tells them which form, for which child, and takes them straight to it. Questions camp directors ask
Do parents need to download an app or make an account?
No. Parents get a text with a link that opens in their phone's browser. Signing a waiver or answering a form happens right there.
Do I have to switch registration systems?
No. Keep the system you use today (see how Playvent fits next to camp software). Import your families from a spreadsheet, and link to forms that live elsewhere. Playvent handles the follow-up.
Can I use the forms I already have?
Yes. Upload your existing PDF form and parents complete and sign it from their phone. Or link to an online form you already use.
What happens if a parent never responds?
Playvent sends up to five reminders, ending with a past-due notice. After that, the family is flagged on your board so you can call them yourself.
Can parents stop the texts?
Yes. Replying STOP opts a parent out immediately, and Playvent only texts families who have connected with your program in the first place.
